Privacy Policy

NIS Tracker ("the App") is operated by the NIS Tracker development team. This policy explains what data we collect and how we use it.

What we collect

• Account info: your first and last name, email address, and password (stored securely via Firebase Authentication — we never see it).
• Membership details (optional): home address, phone number, and date of birth. These are optional — you can skip them at sign-up and add, change or clear them at any time from Profile › Membership details. The club collects them because it keeps a membership roster, not because the App needs them to work.
• Swim data: distance, duration, water temperature, air temperature, location, date, notes, labels, and tagged swim partners — including swims you mark private.
• Photos: swim photos you attach to your logs and your profile picture, if you choose to upload them.
• Events: events you create, and your responses to events others create.
• Social activity: comments and reactions you leave, and content you report as inappropriate.
• Notifications: a device token so we can send push notifications, and a record of notifications sent to you.
• Bug reports: if you send feedback from inside the App, we receive your message along with a screenshot (if you attach one), your name, and technical details about your device — model, OS version, App version, and language.
• Device info: basic analytics to help us fix bugs and improve the App (no advertising identifiers).

Who can see what

• Other members see your name, profile picture, swims, comments, reactions, and event responses. Swims you mark private are hidden from other members' feeds and profiles.
• Your membership details — address, phone number and date of birth — are visible to club admins only, on your profile. They are never shown to other members.
• Admins can approve or remove members, edit club settings, read reported content and bug reports, and view the membership details above. Admins are members of the NIS board.

Anonymous wellbeing survey

The App occasionally invites you to record how you felt before and after a swim. Responses are stored with no link to your account — only your answers, your gender, the water temperature and the date. They cannot be traced back to you, including by us, and they are used only to look at how cold-water swimming affects how people feel.

How we use your data

• To provide the App's core features: your feed, leaderboards, events, and profile.
• To send you notifications you've opted into (e.g., swim reactions, event updates).
• To maintain and improve the App, and to investigate bugs you report.
• To keep the club's membership roster, where you have provided membership details.

What we don't do

• We don't sell your data to anyone.
• We don't share your data with third-party advertisers.
• We don't use your data for profiling or targeted advertising.

Where your data is stored

Your data is stored in Google Firebase (Cloud Firestore, Firebase Authentication, and Firebase Storage for photos), hosted in the EU.

Data retention

Your data is kept as long as you have an active account. If you delete your account, your data is removed. Photos attached to swims are deleted when the swim is deleted or your account is removed. Anonymous wellbeing survey responses are not deleted, because they contain nothing that identifies you.

Your rights

You can see and change your own membership details at any time from Profile › Membership details, including clearing them entirely. You can also request a copy of your data or ask us to delete your account and all associated data by emailing andrew@nistracker.com.

Third-party services

The App uses Firebase (Google) for authentication, data storage, and push notifications. Google's privacy policy applies to their services.

Changes to this policy

We may update this policy. We'll notify you of significant changes through the App.
